Mary is a hospital administrator with an incredibly overwhelming job. She must ensure her facility is responsibly using its resources to provide patient care in the best ways possible. A portion of Mary’s job consists of acquiring new information technology systems that support all administrative and clinical aspects of the organization. She not only has to figure out what systems are needed, she also has to develop a good implementation strategy, ensure that the systems run smoothly and consistently, and evaluate their overall worth.

Understand Your Need

In order to oversee and maintain information technology systems, you first have to get them. It’s important to know the types of systems you need in place and also these systems’ capabilities. As a hospital executive, Mary knows the importance and functions of each hospital department. This gives her an idea of what a potential information system will need to provide for her facility.

Look for Room for Improvement

Mary also needs to figure out what processes are flawed or even broken at her hospital and if they can be improved or fixed. Will a new technology system help bring about improvements? Careful consideration of what currently does not work will help Mary decide if there is a more efficient system that can help the hospital run better.

Know Your Budget

Mary must also weigh the financial capability of the hospital. When purchasing new systems, Mary is held accountable for spending wisely. She needs to look at the current costs of various hospital processes and then determine how a new technology system might save money in the long-run.

Do Your Research

Before purchasing an expensive technology system, seek out other customers who have bought the system you’re considering and ask some questions, such as:

•  How has the system been working for them?
• Are they satisfied with customer service?
• Did the system save money in the long-run by streamlining certain processes?
• Was the system easy to learn?
• Are staff members satisfied with the system?
• What improvements did the new system help them make?

Additional Requirements for the System

Once the decision is made to purchase a new technology system, Mary must figure out exactly what is required to install the system. Some hospitals need additional foundation improvements prior to installation. For example, a new charting system may require extensive re-wiring before the new system can even be installed. These additional requirements will have to be accounted for because they will raise the costs.

Implementation

Enlist Vendor Support

Mary must make sure that part of the purchase contract includes vendor support. Usually, vendors are responsible for the training on a new system, conducting training sessions, and the initial training for the affected staff. Mary should ensure this relationship is in writing and that a legal agreement exists between the vendor and the organization to provide on-site customer support.
